Reports To: Inventory Manager / General Manager
Position Summary:
The Used Car Inventory Specialist is responsible for managing and maintaining the dealership’s used car inventory from arrival to front-line ready. This includes checking in vehicles upon arrival, performing detailed condition reviews, updating vehicle records in the dealership’s inventory system, and coordinating with buyers, service departments, and sales staff to ensure accurate and timely flow of information.
Key Responsibilities:
- Vehicle Check-In & Inspection
- Receive and log all incoming used vehicle deliveries
- Inspect vehicles for damage, cleanliness, and equipment as compared to purchase documentation
- Document and photograph any notable condition issues or discrepancies
- Ensure vehicles have keys, titles, and necessary paperwork
- Vehicle Condition Review
- Perform walk-around and basic mechanical checks
- Note cosmetic or mechanical concerns and flag for reconditioning
- Ensure all vehicle information (year, make, model, trim, features) is accurate
- Inventory Data Management
- Accurately enter and update vehicle information in the dealership management or inventory system (DMS/IMS)
- Upload vehicle photos and condition notes
- Track vehicles through reconditioning, service, and frontline readiness stages
- Detailing & Frontline Prep Coordination
- Coordinate with detailing and service departments to ensure vehicles are prepped to retail-ready condition
- Verify vehicle cleanliness and presentation before lot placement or online listing
- Communication & Collaboration
- Maintain regular communication with buyers, service advisors, and sales team to provide updates on vehicle status
- Alert appropriate personnel of any inventory issues or delays
- Assist with lot organization and vehicle movements as needed
Qualifications:
- Prior experience in automotive inventory, service writing, or related role preferred
- Strong attention to detail and organizational skills
- Ability to perform physical tasks such as walking the lot, inspecting vehicles, and lifting up to 25 lbs
- Familiarity with dealership software or inventory management systems is a plus
- Basic mechanical knowledge or interest in automotive industry helpful
- Strong communication and teamwork skills
- Valid driver’s license and clean driving record required
